Dacorum Borough Council (The Council) is seeking to purchase a print management system that will run as a corporate solution, enabling the centralisation of outgoing print tasks with the intent to cut costs, improve efficiency and assist in the move towards home and remote working for council staff whilst supporting a change in the way we communicate with customers, based upon their preferences, with an emphasis on encouraging electronic methods.
Some of the required features are below: The ability for back office users to select jobs to print to either the councils printing software or central print room device, ad hoc and on demand Override of employees printing choice where any jobs meet a specific criteria (ie. if job is above >20 pages/colour rather than B&W etc) to the central print room devise/print queue A form of ‘print portal’ for planned reprographic jobs, inc. a work ticketing system and print queue management/monitoring facility Interface with Northgate’s Information@Work (the Council’s corporate EDRMS) and our future CRM (Most likely based on MS Dynamics). Must work through our homeworking system, Citrix.
The Council will be moving to a new building ‘The Forum’ by January 2017.
In response to this move and to support the Council’s Digital Dacorum programme, there is a greater need for a more responsive system, one which will enable us to reduce the volume of print and post generated as well as offering efficiencies in the way documents are printed, collated and distributed.
The transition to a Digital Print & Post room will allow officers to print letters direct to a central location from any networked connection, regardless of their work location.
Centralising print management also aims to reduce internal print volumes and the associated cost to the Council.
An efficient Print and Post room would also allow some of the outsourced printing elements to be brought back into the council, further reducing spending.
We would initially be looking at a 3 year contract for licence and support.
We would also want indication of training and consultancy costs.
