The brief

National Museums Liverpool (NML) is seeking to appoint a supplier for the provision of off-site storage, of NML's museum records and documentation which consist of archive collections (paper and photographs) and semi-current records, and an on-demand retrieval and delivery service back to NML.

This tender is for the initial period 1 August 2023 until 31 July 2027 with the option to extend annually for 3 further years until 31 July 2030, subject to satisfactory contractual performance.

Our objective is to identify and appoint 1 supplier who can deliver a solution that is cost effective, sustainable and supports our requirements.

Eligible tenderers, who have been appointed onto Lot 1: Records Information Management Services of the CCS Records Information Management, Digital Solutions and Associated Services (RM6175) Framework are cordially invited to tender.

The initial amount of records to be stored is approximately 1600 linear metres of boxed records and well wrapped volumes, and plan portfolios.

Storage vessels are pre-labelled with archive reference codes relating to their contents.

Box sizes vary and generally range between: 40cm x 30cm x 12cm to 35cm x 26cm x 42cm.

Wrapped volumes and plans come in a variety of dimensions.

During the term of the contract, the appointed supplier must have the provision for follow up deposits of archive and semi-current records, which may include irregular sized items.

The appointed supplier must be able to collect records from a number of NML locations, currently predominantly located in city centre Liverpool.

Please note that storage records stated within the procurement documents are estimated requirements and as are demand dependent, will vary.

NML is therefore unable to guarantee the value of contract or volume of records to be stored over the contract term and over the tenure of the contract.

NML reserves the right to increase or decrease the number and whereabouts of locations to be serviced.

The appointed supplier may therefore be required to service requirements, below, or in addition to, what has been initially specified, within this tender.

NML reserves the right to request additional services during the term of the contract, as permitted under the full scope of the CCS RM6175 framework (Lot 1).
