The brief

Attain Academy Partnership (hereinafter referred to as 'the Trust) comprises seven primary schools located across Essex, serving approximately 1,600 pupils across its sites.

The Trust is undertaking a procurement exercise on behalf of the following academies to appoint a suitably qualified and experienced cleaning contractor: • Cressing Primary School • Newlands Spring Primary & Nursery School • Rayne Primary & Nursery School The current cleaning contract has reached its full term and the purpose of this procurement is to establish a new cleaning services contract for an initial period of three (3) years, commencing on 1 November 2026 and concluding on 31 October 2029, with the option to extend for a further one (1) year plus one (1) additional year at the sole discretion of the Trust.

The current annual contract value is approximately £162,473 (inclusive of VAT), based on existing expenditure.

Tenderers should note that this figure is indicative only and may be subject to variation to reflect recent changes in local circumstances and service requirements The successful contractor will be required to: • Provide cleaning services across all designated school buildings within the three academies. • Invoice on a monthly basis, with charges equivalent to one-twelfth of the agreed annual contract value. • Guarantee the agreed staffing levels, input hours, and quality standards throughout the contract period. • Operate effective arrangements to provide cover for both planned and unplanned staff absences, ensuring continuity of service at all times. • Demonstrate a proactive approach to contract management, regularly monitoring service performance and implementing corrective actions where necessary. • Ensure that all cleaning specifications, schedules, and frequencies detailed within the Invitation to Tender documentation are consistently achieved and maintained throughout the duration of the contract.

The scope of the contract includes all routine and periodic cleaning services required within the school buildings.

The Trust expects the appointed contractor to work collaboratively with each academy, maintaining high standards of cleanliness, hygiene, and presentation in support of a safe and effective learning environment.

There are no scaled drawings but approximate sizes and areas to be cleaned are listed in the documents.
