The brief

The MCA has multiple sites around the UK utilising video conferencing technology - these are primarily Surface Hub 1 devices which require replacement by October 2025.

Some of these devices are wall mounted in standard meeting or training rooms, others are mobile units, with some in 24/7 use in HM Coastguard Operations Rooms.

MCA require replacement equivalent devices to replace these legacy units, as well as support and maintenance of existing Surface Hub 2S and 3 devices, and any additional equipment supplied over the term of the contract.

The replacement will be up to 49 devices, subject to change as the number of devices actually required may reduce after a rationalisation has been completed.

The scope of this contract is to replace Surface Hub 1 devices with an equivalent in support device, as well as support and maintenance of, but not limited to: - Surface Hub 2S and 3 devices, both 50" and 85" units - Teams MTR devices - Any new Surface Hub, Teams MTR device or AV device procured through this contract - Any additional equipment supplied and installed by the Supplier throughout the MCA estate.

Programme of work to replace legacy Surface Hub 1 devices with a suitable replacement across multiple MCA sites.

This is to include the removal and disposal of the Surface Hub devices being replaced.

This opportunity was a Further Competition run under Crown Commercial Services RM6098 framework (Technology Products and Associated Services 2), open to all Lot 2 suppliers.

The contract value for the initial roll out of replacement hubs and support services for 3 years is £767,078.87.

In addition to the initial order, this contract establishes a call-off up to a total value of £4m excluding VAT over 3-years, subject to the contract variation process for any additional Goods or Services in scope of the specification.

There are 2 x 1 year extension options available.
